Billing Administrator

We are currently recruiting for a Billing Administrator to join our Maintenance Division in our Head Office in Dublin 15 on a full time, permanent contract. This is an entry level role with the successful candidate supporting the wider Maintenance Team with their administrative duties.

 

PRINCIPAL ACCOUNTABILITIES: 

  • Prepare draft invoices based on information provided by Dispatch through GeoPal dockets
  • Check material and sub-contractor costs against PO/supplier invoices on RedSky
  • Calculate labour costs based on rate cards and allocate to the relevant jobs on RedSky
  • Based on available pricing information, prepare and process invoices for clients ensuring all Sensori FM client details are captured accurately to pass on to the Finance Department
  • Track document workflows to ensure that invoices are raised and issued for all jobs submitted for costing/invoicing by the Administration team
  • Assist the Finance Department in dealing with any client queries about their invoice/s
  • Analysing WIP reports to ensure billing is prepared in a timely and efficient manner
  • Following up with clients to obtain PO’s
  • Ensure accurate data entry to accounts tracker (PTA)
  • Preparation of information for the Finance Department
  • Manage client queries, ensuring satisfactory customer service is provided to all and queries are escalated quickly and efficiently, where necessary
  • Manage filing and ensure that documentation is correctly stored
  • Support the FM Operations Manager in promoting a culture of excellent customer service by establishing exceptional working relationships with the client/s
  • Understand the range and depth of the services provided by Sensori FM with the eagerness to further develop your knowledge of the business and the services we provide
  • Act as a brand ambassador and lead the Company through its ongoing expansion
  • Any other duties as deemed necessary for the efficiency of the business

SKILLS AND KNOWLEDGE REQUIRED 

  • Degree qualified, in a Business discipline (ideally a recent graduate)
  • A minimum of 2 years’ experience in a fast paced commercial environment
  • Proficient in Microsoft Office with proven experience of using a variety of software
  • Conscientious with a high attention to detail with the ability to meet strict deadlines
  • Capable of prioritising tasks whilst possessing the ability to work under pressure
  • Motivated self-starter, who can work both independently or as part of a team
  • Excellent communication skills, both written and verbal, with fluent English
  • Experience in a similar role
